Administrative Assistant
Brisbane or Novato, CA (Hybrid)
1+ Year Contract

On-site in Brisbane or Novato 2-3 days /week

The Administrative Assistant will provide overall administrative support to the Information Technology department which includes staff in Novato as well as field-based staff. Responsibilities will include but not limited to answering phones, calendar management, travel, expense reporting and meetings/event planning; and other duties and special projects as determined by the department head.
Responsibilities including, but not limited to:

Day-to-day administrative support for department heads and staff as assigned
Perform administrative functions (answering phone calls, ordering lunch, coordinating vendors, printing, mailing, faxing, scanning and binding, etc.)
Take meeting minutes for IT Department and Leadership meetings
Manage internal IT website content and organization
Prepare and/or edit documents, such as reports, memos, and communications
Perform basic bookkeeping/clerical duties
Manage IT calendars, appointments, meeting requests and office space
Preparing and/or editing documents, such as presentations, expense reports, memos and invoices
Manage travel coordination including flights, hotels, and meeting requirements
Coordinate internal conference calls and meetings
Create meeting agendas
Coordinate conference and industry event attendance
Managing document review processes
Printing, copying and faxing
Order office supplies specific to departmental needs
Participate in special projects as needed (e.g. contracts management)
Communicating with senior leadership, external partners and organization to schedule and set-up critical meetings
Support for field-based staff and international staff as needed

Technical Requirements & Skills:

Minimum of 6 years of administrative support experience, specifically in a fast-paced environment
Excellent interpersonal, oral and written communication skills, and proven ability to work autonomously and prioritize workload
Proficiency in MS Office Suite: Outlook, Word, Excel, PowerPoint
High attention to detail, excellent organizational skills and the ability to work on multiple projects with tight deadlines
Ability to deal effectively with a variety of personnel both internally and outside the company
Must be a self-starter and have a positive and flexible attitude
